Job Title:  County Administration & Engagement Coordinator

Organisation: Nottinghamshire Young Farmers Clubs (Notts YFC)

Location: County Office, Newark Showground (Office 1 day per week with option to WFH, and countywide travel to clubs 2 other days)

Work Hours: 3 days per week, 8 hours per day

Typical Workdays: Monday, (Choice of Tuesday, Wednesday or Thursday) & Friday

Reports to: County Chairman / County Executive Committee

Working Alongside: County Membership & Competitions Coordinator

Role Purpose

The County Administration & Engagement Coordinator is responsible for the administration, organisation and development of Nottinghamshire Young Farmers Clubs across the county. The postholder will support member engagement, coordinate county events and training, manage communications, and ensure the effective day-to-day operation of the County Office.

This role is central to maintaining strong communication between the County, Clubs, National Federation of Young Farmers (NFYFC), partners and the wider rural community, while helping to grow participation and opportunities for young people in agriculture and rural life.


Key Responsibilities

  1. Events & Activities Coordination
  • Organise and administrate of county events and activities whilst maintain good relationships with all stakeholders, sponsors and hosts
  • Produce event management plans, risk assessments and make logistical arrangements to ensure events run safely and successfully
  • Liaise with police, local authorities, venues and event hosts if required
  • Arrange catering, bookings and equipment for events if required
  • Coordinate YFC attendance at external events (e.g. Plough Sunday, RABI Carol Service, NFU events)
  • Liaise with the Newark & Notts Agricultural Society and Newark Showground regarding YFC involvement in the County Show
  • Assist delivering and coordinating club officer training and county training/programme evenings
  1. Governance & Administration
  • Support the County Secretary, by attending Executive meetings and the AGM and helping to produce accurate minutes
  • Organise and administer the County AGM, including nominations, agenda and invitations
  • Produce the County Annual Report for the Charity Commission and ensure the Notts YFC Charity functions within the guidelines set by the Charity Commission
  • Support the County Treasurer in liaising with the independent examiner regarding accounts and reports
  • Maintain the county calendar in line with NFYFC competitions and activities
  • Monitor NFYFC council updates and ensure required actions are implemented locally
  • Arrange all annual insurance cover for the county, clubs, trophies and equipment
  • Work alongside the County Safeguarding Officer and County Membership & Competitions Coordinator to provide administrative support to safeguarding processes including DBS checks of all stakeholders
  1. Communications & Membership Engagement
  • Support the County Membership & Competitions Coordinator where required by assisting with county Communication with members, parents, volunteers and external parties and promotion of the organisation as relevant and via appropriate channels (e.g. email updates and newsletters etc)
  • Administer and grow the “Friends of YFC” supporter scheme and annual prize draw
  • Manage county social media platforms (Facebook, Instagram, TikTok & Snapchat)
  • Promote activities through local media, newspapers and radio
  • Coordinate production of the County Yearbook, including collecting reports, sourcing sponsorship advertising and arranging print
  • Support website administration and liaise with web developers and hosts
  1. Partnerships, Funding & Development
  • Build relationships with partner organisations (e.g. NFU, voluntary sector bodies and rural organisations)
  • Initiate fundraising, sponsorship and grant applications to support the County
  • Seeking out potential sources of funding; bid writing of grant applications, securing sponsorship of events and activities to ensure a continual stream of funding to cover the running costs of the organisation
  • Maintain regular communication with county stakeholders and supporters
  • Act as EMA Committee Secretary on the rotational basis and organise the EMA weekend when required
  1. Office & Operational Support
  • Oversee practical management of the County Office and liaise with NNAS and Newark Showground regarding occupation and facilities
  • Organise the filing or shredding of relevant County records and documentation
  • Maintaining the presentable upkeep and appearance of the YFC Office, reporting any major faults or required maintenance works to the County Chairman and Management Committee

Personal Skills

  • Strong organisational and administrative skills
  • Ability to be confidential adhering to GDPR regulations
  • Excellent written and verbal communication
  • Ability to manage multiple projects and deadlines
  • Confident working independently and as part of a volunteer-led organisation
  • Good IT skills (Email, Word, PowerPoint, Social Media Platforms)
  • Willingness to work evenings and weekends, the ability to be flexible to benefit the YFC events Calendar
  • Event management and fundraising experience
  • Full UK driving licence and access to a vehicle
  • Experience working with young people, volunteers or membership organisations
  • Knowledge of agriculture, rural communities or Young Farmers Clubs
  • Basic understanding of safeguarding procedures

Additional Information

This role will require evening and weekend working, particularly around events and meetings.

The role will require supporting the County Chairman, Management and Executive Committees in the effective and continued running of the organisation and anything else as required from time to time.

The post-holder will be required to undergo an enhanced DBS check.
